PROGRAM COORDINATOR

OVERVIEW

Start Date: February 2025

Weekly Hours: 40 hours per week 

Reports to: Director of Programs

Salary: $55,000

Location: This is a hybrid position based in Bellevue, WA, with both in-office and remote work components.

POSITION SUMMARY

As our Program Coordinator at ZGiRLS, you play a pivotal role in ensuring our programs run smoothly and effectively, supporting our mission to build confidence in girls. You will combine program logistics, customer service, technology management, and volunteer coordination. You will serve as the central point of communication between participants, families, facilitators, and professional athlete guest speakers, ensuring programs are delivered with precision and care. By managing program set-up, execution, and reporting, you will contribute to the growth and impact of ZGiRLS nationwide.


KEY RESPONSIBILITIES

Program Management

  • Develop and maintain program timelines, coordinating pre-program, live, and post-program tasks.

  • Create and manage online program software platforms and program volunteers.

  • Oversee program logistics, such as ordering supplies, setting up registration pages, and embedding them on the website.

  • Manage the ordering, assembling, and shipping of program materials to ZGiRLS participants including tracking shipments and updating customer records in our database.

  • Oversee live program sessions as the Program Producer by managing Zoom, monitoring the program chat, ensuring smooth technical operations, displaying visuals, and uploading session recordings.

Technology & Systems Management

  • Manage multiple software platforms that support registration and communication processes.

  • Test and ensure all software platforms are functioning smoothly for a seamless registration and communication process.

  • Maintain accurate and user-friendly program pages on the ZGiRLS website, including FAQs and resources.

  • Manage ordering, assembling, and shipping program materials to ZGiRLS participants , including tracking shipments and updating customer records in our database.

Customer Service

  • Act as the primary point of contact for program participants and their families, primarily through email communication, with occasional phone call support as needed.

  • Respond to inquiries about registration, schedules, and program details with clarity and empathy.

  • Address concerns related to program changes, cancellations, or logistics.

Program Reporting & Marketing

  • Create comprehensive reports, including weekly updates, overall program summaries, and yearly performance evaluations covering attendance, feedback, and engagement metrics.

  • Submit and manage program promotional materials in an online portal that targets relevant middle schools and tracking marketing results.

  • You’re very organized and can manage multiple projects at once.

  • Strong written communication skills to craft clear and thoughtful messages.

  • Self-motivated and thrives in a fast-paced, supportive environment.

EXTRA CREDIT IF YOU…

  • Experience in volunteer management or community outreach (e.g., connecting with local organizations, engaging with community members, and fostering partnerships to expand program impact).

  • Familiarity with managing data and working in spreadsheets.

  • Passion for empowering girls and alignment with ZGiRLS' mission and values.
