Location: Hybrid based in Bellevue, WA. In-office: M, W, Th

POSITION SUMMARY
As the Program Coordinator at ZGiRLS, you play a pivotal role in ensuring our programs run smoothly and effectively, supporting our mission to build confidence in girls. You will combine program logistics, customer service, and technology management. You will serve as the central point of communication between participants, families, facilitators, and professional athlete guest speakers, ensuring programs are delivered with precision and care. By managing online program set-up and execution you will contribute to the growth and impact of ZGiRLS nationwide. From managing timelines and registration platforms to assembling program kits and supporting live Zoom sessions, you’ll make the magic happen. You’ll work closely with the Director of Programs and be the key point of contact for program families, volunteers, and facilitators.
KEY RESPONSIBILITIES
Program Execution & Logistics
Lead online program execution, including coordinating pre-program, live, and post-program tasks.
Set up registration pages, track participant information, and manage online program software platforms.
Manage the ordering, assembling, and shipping of program materials to ZGiRLS participants including tracking shipments and updating customer records in our database.
Oversee live program sessions as the Program Coordinator by managing Zoom, monitoring the program chat, ensuring smooth technical operations, displaying visuals, and uploading session recordings.
Technology & Systems
Manage tools and platforms (e.g., Mailchimp, Salesforce, Zoom, Squarespace) that support registration, communication, and program delivery.
Maintain and update our website’s program pages and FAQ content
Communications & Support
Act as the primary point of contact for program participants and their families, primarily through email communication, with occasional phone call support as needed.
Respond to inquiries about registration, schedules, and program details with clarity and empathy.
Address concerns related to program changes, cancellations, or logistics.
Communicate logistics to athlete guest speakers and facilitators to ensure they are prepared for program delivery.
Reporting & Marketing
Collect and report program data on attendance, feedback, and engagement metrics.
Submit program promotional materials to the middle school portal, and track engagement to evaluate marketing impact.
Design & Content Support
Design and update visual assets to support programs and communications (e.g., slide decks, email newsletters, reports, etc.) using tools like Canva.
Collaborate on webpage design and layout for program pages and resources.
Assist with the visual formatting of internal reports, donor updates, and stakeholder communications.
Ensure all materials reflect ZGiRLS’ voice, brand, and commitment to inclusion.

Comfort working with spreadsheets and organizing program data.
Basic design or layout experience (e.g., Canva, Google Slides, Mailchimp, Squarespace, or similar).
